Client Mode (Outlook) Signatures

Client Mode in Sigsync allows email signatures to be applied directly within Outlook, giving users full control over how signatures appear in their messages. Signatures are automatically added while composing emails, and users can also select the desired template from the Add-in pane.

This mode uses the Sigsync Signatures Outlook Add-in, which needs to be deployed via the Office 365 Admin Center. To deploy it, the account performing the deployment must have the Office 365 Global Admin role and Exchange Admin role, as these permissions are required to install and configure add-ins organization-wide.

Once deployment is complete, the Sigsync Signatures Outlook Add-in typically appears within 6 hours. For larger organizations, propagation may take up to 72 hours due to Microsoft’s internal processes. After propagation is complete, the signature will automatically appear while composing an email in Outlook.

Client Mode is ideal for organizations that rely heavily on Outlook and need a secure, flexible solution to maintain consistent email branding and compliance, without depending on server-side processing.

Steps to Configure Client Mode Signature

  • From the Sigsync dashboard, go to ‘Manage Signatures’ > ‘Manage Tenants’ tabs.
  • On the right-hand side, click ‘Pending’ in the ‘Configuration’ column.
  • Select ‘Client Mode’.
  • Authenticate using an Office 365 Global Admin account on the Microsoft sign-in page.
  • Click the ‘Deploy Add-in’ button to deploy Sigsync Signature Outlook Add-in on Office 365 Admin Center.

How Client Mode Works

Client Mode processes everything locally within Outlook, ensuring users see their signature instantly as they compose emails. The steps below explain how signatures are fetched, applied, and delivered without any server-side routing.

1. User opens Outlook

The user launches Outlook on Windows, Mac, Web, iOS, or Android..

2. Add-in loads signature and user detailss

The Sigsync Signatures Outlook Add-in retrieves the user’s signature and relevant Azure AD attributes.

3. Signature is applied automaticallys

The signature is automatically added as soon as the user starts composing a new email.

4. Optional manual selection

Users can also manually select different signatures or templates through the add-in pane if needed.

5. Email is sent directly

The message is sent directly via Microsoft 365 with no routing through Sigsync servers.

6. Recipient sees the message as composed

The recipient receives the email exactly as the user composed it, including the signature formatting and branding.
