Apply signature to every email, but remove its previous occurrences in the email conversations
The option Apply signature to every email, but remove previous occurrences ensures that a signature is added to each outgoing email in a conversation while simultaneously removing any earlier signatures from the thread. For example, when a sender composes the first email, the signature is added. In the next reply, the previous signature is removed, and a new signature is appended to the current message. This process continues for all subsequent replies or forwards, keeping only the latest signature visible. The signatures are applied based on the configured rule conditions, and if no rules match an email, no signature will be added.
How It Works
- When an outgoing email meets the conditions defined in a rule, Sigsync adds the signature to the email.
- For the next reply or forward, the signature from the previous email is automatically removed, and a new signature is appended to the current message.
- This pattern repeats for every subsequent email in the conversation, ensuring only one signature is visible at a time.
- The system checks each email against the rule conditions, so signatures are applied only when the configured criteria are met.
- Emails that do not match any active rule are sent without a signature.
Steps to Apply Signature and Remove Previous Occurrences
- Login to the Sigsync dashboard.
- Go to ‘Settings & Others’, then select the ‘Settings’ tab.
- Navigate to the 'Signature occurrences in email conversation' section, select the ‘Apply signature to every email, but remove its previous occurrences in the email conversation’ option, and click 'Save'.
As shown in the screenshot below, the email signature is appended to the first email (#email1) sent by the sender. When a subsequent email (#email2) is sent in the same conversation, the signature added to the first email (the previous occurrence) is removed, and a new signature is appended to the second email (#email2).
