Apply signature when the first email is sent and remove it from the email conversation when subsequent email is sent

The option Apply signature when the first email is sent and remove it from the email conversation when a subsequent email is sent appends an email signature only to the first email in a conversation. When the same email thread continues with replies or forwards, the signature added to the initial email is automatically removed. Regardless of the conditions configured under Signature Rules, no signatures are added to any subsequent messages when this option is enabled.

How It Works

When an outgoing email matches the rule conditions (such as senders, recipients, or keywords), Sigsync evaluates the Signature Occurrence setting:

  • A signature is appended to the very first email (#email1) in the conversation.
  • In the next email sent in the same thread (#email2), the signature added in the first email is removed, and no signature is added for that message.
  • Subsequent replies and forwards continue without signatures, regardless of rule conditions.

This behavior is different from other signature occurrence options, such as applying the same signature to every email or applying a signature only to the first email without removing it in later messages.

Steps to Apply Signature to First Email and Remove from Subsequent Emails

  • Login to the Sigsync dashboard.
  • Go to ‘Settings & Others’, then select the ‘Settings’ tab.
  • Navigate to the 'Signature occurrences in email conversation' section, select the ‘Apply signature when the first email is sent and remove it from the email conversation when subsequent email is sent’ option, and click 'Save'.

    As illustrated in the screenshot below, the email signature is added to the very first email (#email1) from the sender. In the subsequent email (#email2) from the same sender, the email signature added under the first conversation is removed.
