How to create email signature

In this section, you can learn about the step by step procedure of creating email signature using Signature Generator. Customized email signature can be created using all the features available. Here, let’s understand about the creation of template using available predefined template and modifying the same using the different existing features.

How to launch Signature Generator

  • In the dashboard, click the 'Add, Manage Tenant Signature' option to add signatures to Office 365 tenant as highlighted in below screenshot.


  • Then, in the tenant list, click the 'Create, Edit, Manage Signatures' button of the respective tenant for which new email signature needs to be created.


  • From the left pane, click on the signature generator which launches the Signature Generator.


How to choose the template from the list and modify quickly

  • In the signature generator, click on the Choose Signature Template button and you can access the predefined templates.


  • Select the required category from the drop down list and then, select suitable template according to your requirement.


  • Select the suitable template from available template list for your organization.


  • You can modify your selected template as shown below.


  • In selected template, choose field which needs to be modified. For an instance, we have selected AD placeholder called mail in this below example. You can replace that field with any other field. Or you can directly double click on it to open edit interface.


How to add placeholders to the email signature

To add placeholders to the email signature, drag and drop the required placeholders to the signature template layout. Then, add all the required fields with respective to the selected placeholder and save it. For an instance, we are adding personal field in below screenshot.


To verify the changes made above, click on the 'Preview' button in the signature generator. You can click on any user in the list to see how their signature will appear in the email. This will help to make signature more accurate to your requirement. Select any user in the list to view their signature.


  • After completing all the changes in the email signature, click on the 'Save' button and then, enter the 'Template name' in pop up window.
  • If you choose 'Do not assign this signature to any rule', then you can later add this template to a rule in a signatures tab.


  • If you choose 'Assign this signature to the rule', this template will be set for the rule you have selected in drop down menu and then, click on the 'Save' button to apply changes.
