Centralized Mode Signature

Centralized Mode is a complete solution for email signature management, ideal for organizations with users across multiple email clients such as Outlook, OWA, and more. It ensures consistent, professional signatures across all devices, including Windows, macOS, Linux, iOS, Android, and others. Administrators have full control over how and when signatures are applied, while users can preview, switch to alternate signatures, or choose server-side configurations. Signatures remain visible during email composition and editing, and non-editable signatures can be enforced automatically when server-side rules are applied.

Steps to set up Centralized Mode Signatures

Step 1: Login to Sigsync Dashboard

If you are a new user, you can either sign up for a Sigsync account or use your Microsoft account to sign in directly. Once logged in, the dashboard provides a centralized interface where you can register your tenant and configure email signatures using the setup wizard.

Step 2: Register and Configure Signatures

Register with Sigsync using your Office 365 Global Admin account to centrally manage email signatures for your organization. The setup wizard automatically handles tenant registration, authorization, selecting senders (Active Directory groups), configuring inbound/outbound connectors, creating transport rules, and deploying the Sigsync Signatures Outlook add-in. The administrator only needs to follow the guided instructions, as all configurations are applied automatically.

Step 3: Create Signature Templates

Start from the Sigsync signature editor to create email templates. Include Office 365 Azure Active Directory fields such as profile photo, job title, address, and company name. You can choose from pre-designed templates, create your signature completely from scratch, or import your own HTML code.

Step 4: Set Signature Rules

Set signature rules to determine when and for whom email signatures are applied. Specify criteria such as senders, recipients, keywords, or Active Directory groups to ensure the correct signature is added to every outgoing email.

Step 5: Add SPF Record to Your Domain

Add the Sigsync Azure Service to your domain’s SPF (Senders Policy Frame) TXT record. This prevents emails from being marked as spam, junk, spoofing, or phishing by Exchange Online Protection (EOP).
