How to add SPF Record

SPF (Sender Policy Framework) TXT record is a list of authorized senders for your domain. You have to add Sigsync domain to your SPF record to inform servers at receiving end that our service is authorized by your domain to process the mail. This helps in preventing mails to be marked as spam, junk, spoofing, or phishing by receiving server.

To avoid emails being treated as spam or junk adding to SPF records is a must. If you haven't setup an SPF record yet, it is very useful and recommended to have for each domain even if domain doesn't send any mail as SPF records can prevent spoofing and phishing.

How to add SPF Record depends upon whether you have your own domain or using onmicrosoft.com assigned by Microsoft at creation of account. If you use your own domain, then click "Add SPF Record to Own Domain" section. If it is onmicrosoft.com, then click "Add SPF Record to onmicrosoft.com" section.

  • Add SPF Record to Own Domain

    You have to add Sigsync domain (mail.sigsync.com) to your SPF record (domain registrar's DNS configuration) to inform servers at receiving end that Sigsync service is authorized by your domain to process the mail. This helps in preventing mails to be marked as spam, junk, spoofing, or phishing by receiving server.

    If you have more than one domain in your Office 365 that require Sigsync service then you have to add our domain (mail.sigsync.com) to each of your domain's SPF record.

    Ensure you have created SPF Record as per the below Microsoft guides (Ignore this guide if SPF record already exists) :

    Your SPF record entries may be as shown in the below:

    Example:

    a. Default Microsoft SPF record configuration

    v=spf1 include:spf.protection.outlook.com -all

    b. Multiple Server Microsoft SPF record configuration

    v=spf1 include:spf.protection.outlook.com include:mail.example1.com include:mail.example2.com -all

    Now, you need to add "include:mail.sigsync.com" to above line to ensure mails do not get marked as spam or junk mistakenly. The value to be added to your SPF record should be "include:mail.sigsync.com" to make it work properly.

    Example: Adding Sigsync domain to your SPF record.

    v=spf1 include:spf.protection.outlook.com include:mail.sigsync.com -all

    v=spf1 include:spf.protection.outlook.com include:mail.example1.com include:mail.example2.com include:mail.sigsync.com -all

  • Add SPF Record to onmicrosoft.com

    If you don't have your own domain and your are using onmicrosoft.com then contact Microsoft to add SPF record. Because Microsoft manages the DNS for onmicrosoft.com as you can not edit the DNS settings.
